For law firms and in-house legal teams
Legal transcription software for law firms
Klang turns client meetings, witness interviews and dictation into transcripts with named speakers and timestamps, and drafts a summary where every point links to what was said. Confidential material stays in the EU, or on your own servers.
Used by Nordic law firms such as Lindahl and Schjødt
Every sentence linked to its moment in the audio
EU hosting, private cloud with your own keys, or on-premise
How lawyers use it
Capture the conversation
Let Klang join a Teams, Zoom or Google Meet call, record a meeting in the room with the mobile app, record a phone call, or upload a recording you already have. Dictation works straight from the browser.
Get a transcript you can check
Klang transcribes, separates and names the speakers and flags passages that may need a second listen. Add the names, parties and terms that recur in a matter to a word list so they are spelled right.
Turn it into work product
Ask for a file note, a chronology or the points where two accounts differ. Each answer cites the recording and the time code. Export to Word with speaker names and timestamps.

Invented matter, shown to illustrate the format. In Klang each time code opens the recording at that moment.
Search every matter you have recorded.
Gather recordings by client or matter. Ask what a witness said about a date, or where two statements disagree, and get an answer with a reference to each passage.
Documentation you can stand behind.
Every point in a summary leads back to the transcript and the audio, with speaker and timestamp. You review and correct before anything goes into the file.
Follow up without retyping.
Agreements and next steps become ToDos. Save the file note to OneDrive, Google Drive or Dropbox, or connect your practice management system through the API.
Klang for law firmsA practical guide to legal transcription
Legal transcription is the conversion of spoken legal material, such as client meetings, interviews, hearings and dictation, into written text. What makes it different from ordinary transcription is the standard it has to meet: the text may end up in a file, in front of a client or before a court, so accuracy, attribution and confidentiality all matter.
What law firms transcribe
The material falls into a few groups, and each has its own requirements:
- Client meetings and calls, where the transcript supports the file note and the advice that follows.
- Witness and party interviews, where exact wording and who said it are the whole point.
- Internal investigations and HR matters, where the record must be complete and fair to everyone interviewed.
- Dictation of letters, memos and notes, where speed matters more than verbatim detail.
- Hearings and depositions, where a certified record from a court reporter may still be required.
AI transcription or a transcription service?
Human transcription services and court reporters produce certified transcripts, and some proceedings require exactly that. For everything else, from client meetings to interviews and dictation, AI transcription is now accurate enough to replace the first draft, and it is ready minutes after the recording ends instead of days.
The responsible way to use it is to treat the AI transcript as a draft: listen to the passages that matter, correct names and terms, and only then rely on it. Software that links every sentence to the audio makes that check quick, because you never have to search for the right minute.
How to get an accurate transcript
Most errors in legal transcripts come from the recording, not the software. A few habits make a large difference:
- Tell everyone the conversation is being recorded and why, and note their consent at the start.
- In a room, put the phone or microphone in the middle of the table, away from laptops and coffee cups.
- Ask people to state their name and role at the start, so the speakers can be named reliably.
- Spell out case-specific names and terms once, and add them to the word list for the matter.
- After the meeting, listen again to every passage you intend to quote, and correct it in the transcript.
Confidentiality and data protection
Recordings of client conversations contain privileged and personal information. Before choosing a tool, ask where the audio and text are processed, who can access them, and whether they are used to train AI models.
Klang processes and stores data in the EU, encrypts it at rest with keys specific to your workspace, and never uses it to train AI. Klang is ISO 27001:2022 certified and signs a data processing agreement. Firms with stricter requirements can run Klang Vault, a single-tenant environment where you hold the encryption keys and choose where data is stored, or install Klang on-premise.
From transcript to file note
The transcript is raw material. The work product is the file note, the chronology or the list of open points. With every recording of a matter in one place, Klang can draft those from the conversations themselves, and each sentence keeps its link to the moment it came from, so the lawyer reviewing it can check any line in seconds.
Ways to transcribe legal recordings
What each option is good for:
| Typing it yourself | Transcription service | Klang | |
|---|---|---|---|
| Turnaround | Hours per recording | Usually days | Minutes after the recording ends |
| Certified transcript | No | Yes, from court reporting services | No; use a certified service where the court requires it |
| Checking a quote | Scrub through the audio | Scrub through the audio | Every word linked to the audio |
| Summaries and file notes | Written by hand | Not included | Drafted from the recording, every point cited |
| Where the data goes | Your own systems | The service provider | EU, private cloud or on-premise |
Frequently asked questions
What is legal transcription?
The conversion of spoken legal material, such as client meetings, interviews, hearings and dictation, into written text. It needs accurate wording, clear attribution of who said what, and confidential handling of the recordings.
Can AI transcription be used for legal work?
Yes, for client meetings, interviews, investigations and dictation, provided a lawyer reviews the passages that matter. Where a court requires a certified transcript, use a court reporter or certified service for that record.
Is Klang secure enough for privileged material?
Data is processed and stored in the EU, encrypted at rest with workspace-specific keys and never used to train AI. Klang is ISO 27001:2022 certified, signs a data processing agreement, supports single sign-on, and can run single-tenant with your own encryption keys or fully on-premise.
Does Klang identify the speakers?
Klang always separates a recording into speakers. With speaker identification, part of the Pro plan, it also names them: from the participant list when it joins a Teams, Zoom or Meet call, and by recognising voices that have been named before.
Can I add legal terms and names?
Yes. Word lists, part of Pro, let you add the names, parties and terms that recur in your work so they are transcribed correctly.
Which formats can I export?
Word with speaker names, timestamps and comments; Excel and CSV with one row per segment; plain text, HTML, JSON and subtitle formats; and the original audio or video.
Try it on your next client meeting.
Record or upload a conversation and see the transcript, the speakers and a draft file note, with every point linked to the audio.
